Users & Roles

Purpose
This screen manages the system accounts of the staff who work in your restaurant: creating new accounts, assigning roles, setting passwords, and deactivating or deleting accounts. Each user’s role determines which screens they can see in the app (for example, waiters reach the POS while kitchen staff reach the KDS). Shifts, leave, and HR records are not kept here — they live on the Personnel screen. This screen deals only with login accounts.
This screen is available to ADMIN and MANAGER roles (changing a user’s role is restricted to ADMIN). Team and role management is part of the free core: the user count is unlimited and there is no per-person fee.
How the screen is laid out
At the top you’ll find summary cards by role and status (Total, Active, Pending Approval, Inactive, Admins, Managers). Below them are a search box, a role filter, and status tabs (All / Active / Pending Approval / Inactive) that let you narrow the list quickly. If there are no pending or inactive users, the matching tab/card is hidden. Each row in the list table shows the full name, email, role badge, status badge, creation date, and action buttons.
Adding and editing users
Create a new user
Open the form with “Add User” at the top right. Enter the email, a password (at least 6 characters), first name, last name, and role. When you save, the account is created right away.
Choosing a role
The roles are: ADMIN (full management), MANAGER, WAITER, KITCHEN (kitchen staff), and COURIER. The default role is waiter. The role determines which screens the user can see.
Editing details
Use the pencil icon on a row to update the email, first name, last name, and role. If you leave the password field blank, the current password is kept; the password only changes if you type a new value.
You can’t delete your own account — the delete button is disabled on your own row, and a “(you)” label appears next to your name. This prevents the last administrator from accidentally locking everyone out.
Statuses: approve, reject, deactivate
A user’s status takes one of four values, and the actions on a row change with the status:
- Pending Approval (PENDING_APPROVAL): someone who signed up themselves is awaiting approval. The row shows approve (✓) and reject (✗) buttons.
- Active (ACTIVE): a normal working account. The edit and delete buttons appear.
- Inactive (INACTIVE): an account whose access has been turned off. You can re-enable it with the Reactivate button.
Status transitions (approve / reject / reactivate / delete) are separate actions; the “status” field in the edit form only appears when editing an existing account, and the real authority lives on the server. Deletion is irreversible and removes the account permanently.
User count
The number of users is unlimited — you can open an account for your whole team. The info banner at the top shows the current / limit ratio, and because it’s unlimited you’ll see ∞ on the limit side; the “Add User” button never locks against a quota, and reactivating an inactive user is never blocked either.
